Find Invoice window

Topic overview

If you have the user privileges, editing invoices can be performed. Use the Find Invoice window to find the desired invoice.

Access

To access the Find Invoice window shown in Figure 1, use the following Navigator menu path:

The Toolbar Buttons

[Ok] Opens the currently selected Invoice and closes the Find Invoice window.

[Cancel] Closes the Find Invoice window.

[Recent] Displays the last 50 Invoices that were created in the system.

[Print] Prints a copy of the currently selected Invoice.

[Duplicate] Duplicates the currently selected Invoice.

[Find Type] Allows you to select from a list of invoice types. Similar to the Filter {Invoice Type].

[Edit] Similar to [OK], except the Find Invoice window remains open and retains the filters.

[Reprint Credit Card Slip] Allows for the reprinting of the following credit card related slips.

The 'Last Customer' item is ONLY visible if a separate printer is configured for the customer receipt.

Search Fields

The Find Invoice window allows you to search for invoices by a variety of methods including:

Invoice Number Searches for the System Five Invoice Number.

Customer/Ship To Searches for a match to either the Customer or the Ship To Customer

Name on Invoice Searches the name stored in the Invoice Record.

Note: The Name stored in the Invoice Record may differ from Customer Name, if the Customer Name has changed

Customer PO Searches for the PO Number

Reference # Searches for the Reference Number.

Live Search: When checked, a search is performed each time the value in a criteria input box changes.

Example: With the cursor in the [Customer/Ship To] box, type the letter 'S'

If [Live Search] is checked, then the system displays all Invoices for Customer Names that start with 'S'.

If [Live Search] is Not-Checked, then nothing happens until you press the [Enter] key on the keyboard.

Filter tabs

The following filters are available to further reduce the number of invoices returned from a search. These additional filters are divided into three tabs.

Filter tab

Unique No A number internal to the system that uniquely identifies each invoice.

Invoice Type A/R, Cash, Estimate etc...

Sub Type Select an invoice sub type (if any are set up; this drop-down list also includes the 'Unassigned' option which filters invoices w/ unassigned sub-types)

Clerk Select a specific clerk, or No Filter.

Department Select All Departments or one specific department.

(To restrict a user to only view invoices from a specific department, click here.)

ONLY visible in Departmentalized Systems.

Start Date Start date range to filter the invoice list by

End Date End date range to filter the invoice list by

Advanced Search tab

Delivery Date Select a specific delivery date.

Lookup Word Searches for a lookup word that is attached to some invoices.

Free-form Searches the free-form fields on the invoice.

The following filters are only available if using Job Costing. See Job Costing for more information.

Job # Searches for the Job Number.

Job PO # Searches for the Job PO Number.

Job Desc Searches for the Job Description.

Job Addr Searches for the Job Address (The first nun-labeled text box on the Job Edit window.)

The following filters is only available in the Optional Lighting Store module.

Template The Lighting Store module allows for the creation of Invoice Templates that can be re-used to create new invoices. Use this filter to locate existing templates.

Job Desc #3 Searches for the Job Desc #3 (The third nun-labeled text box on the Job Edit window.)

Results

The results grid contains the fields shown above, but also has the following fields available through customization of the grid.

To customize the grid, right-click anywhere on the grid and select Customize as shown in Figure 2.

After selecting customize from the menu, a window will open showing the customization options.

To change/apply customization to the Invoice Find window, select Show column as indicated Figure 3.

Unique A number internal to the system that uniquely identifies each invoice record.

Customer The Name on Invoice

PO Number The PO Number supplied by the Customer.

Delivery The Delivery date, if one is set.

Ref # The Reference Number.

The following filters are only available if using Job Costing. See Job Costing for more information.

Job # The Job Number.

Job PO The Job PO Number.

Job Desc The Job Description.

The following filter is only available in the Optional Lighting Store module.

Template Name The Template Name used to create the Invoice.

The following fields can be used to view information on a unit that is attached to the invoice:

Unit # The Unit Number.

Unit Serial # The Unit Serial Number.

License # The License Number.

Make The Make of the Unit.

Model The Model of the Unit.

Serial # The Serial Number of the Unit.

Year The Year of the Unit.

Account # The Customer's Account Number.

Rental Out The display the out date for any rental invoice (regardless of whether the invoice is currently out). This is the date in the Rental

Times tab, not on the individual parts.
