Inventory Locations tab (Advanced Inventory Control ONLY)

Topic overview

The Inventory Details window - Locations tab shown in Figure 1, allows you to set and view a listing of all of the locations associated with a given inventory record by department (optional - purchased option) and shows "In Stock" and "available" quantity. "In Stock" is anything that has been fully received and is in a location it can be picked from, however, some of that stock may be already be placed on work orders and therefore not really available to sell. The available stock is the quantity available to sell.

You can add, edit and delete locations to which you want this inventory item to be placed from the listing. You do this once if you are not using departments or for each department if you are. You can also print labels and view stock details at a given location. You set and modify location parameters such as high quantity, location type or pick/put away priorities. You can modify requires picking in the Locations window.

With the location segment structure in place (Setup Wizard> Advanced Inventory> Location Segment Setup - optional) and actual locations created (Inventory > Multi-Location Maintenance ), stock is able to be received into a location. An inventory item stock can be placed in more than one location. Additionally, a location can contain many different inventory items. Pick and put away priorities are determined by how many locations are associated with an inventory item. For example, if you have three locations you set the primary pick location to pick priority 1, the secondary location as priority 2 and the third as priority 3. The same principal applies to put away priorities. The values between pick and put away locations may or may not match depending on local stock movement considerations.

The stock is received into the location with the highest slotting priority by default and then selected to fill an order from the highest picking priority first by default. However, you are optionally able to put away and pick from other locations

Once a location has stock you can view stock details, by selecting to see [Stock].

The ability to add or edit information with this window is governed by the individual's security settings set in Setup Tools> Setup Wizard> Users and Security).

Inventory location cross-reference colour mapping

The links between inventory parts and locations are shown with various background colours to help you easily identify the rules that apply to them.

The following describes the six possible background colours combinations:

There is a record selector to the left side of the inventory location grid throughout the system to indicate the record currently selected. The row color changes to a red background when the <CTRL> key is pressed while a row in the grid is selected.

Tab parts descriptions

The contents and purpose of the fields and columns in the Locations tab are detailed in Table 1.

Click the down-arrow and select the department or all department physical count settings from the drop-down list.
Only available if you are licensed to use departments.

The number of items in the list is determined by the number of departments set up in the Setup Wizard> Departments> Department Names

Location

Click [New] and in the Find Location window, select one or more locations you want to store this inventory item in. Note, that in the Find Location window you are able to create a new location or edit an existing location.

To select multiple locations: in a group highlight the first location, hold <SHIFT> and click the last location or individually Click the Key cell beside the desired locations (toggles between selected (yellow) or not), before clicking [OK].

The column displays all the locations you associated with this inventory item. When viewing the list you can filter on this field by clicking the down-arrow and selecting either All, Custom or a specific location in the list.

The Custom filter opens the Custom Filter dialog box where you enter customised criteria for your search as shown in Figure 2.

High Qty

Enter a value in the cell to indicate maximum quantity for reordering purposes. High quantity is also used when receiving stock to indicate when a location is full or overstocked.

The column displays the maximum quantity for all the locations you associated with this inventory item. When viewing the list you can filter on this field by clicking the down-arrow and selecting either All, Custom or a specific High Quantity in the list.

The Custom filter opens the Custom Filter dialog box where you enter customised criteria for your search as shown in Figure 2.

Pick Priority

Enter a value in the cell to indicate picking priority of this inventory item at this location, as compared to the other associated locations, when picking sold stock for customers.

The column displays the pick priority for all the locations you associated with this inventory item. When viewing the list you can filter on this field by clicking the down-arrow and selecting either All, Custom or a specific pick priority in the list.

If a location is quarantined in Location Maintenance or Location Defaults, this status carries over to Pick Priority and Put Away Priority settings for all inventory items linked to the location.

Put Away
Priority

Enter a value in the cell to indicate put away priority of this inventory item at this location, as compared to the other associated locations, when placing receiving stock.

The column displays the put away priority for all the locations you associated with this inventory item. When viewing the list you can filter on this field by clicking the down-arrow and selecting either All, Custom or a specific put away priority in the list.

If a location is quarantined in Location Maintenance or Location Defaults, this status carries over to Pick Priority and Put Away Priority settings for all inventory items linked to the location.

Location Type

Click the down-arrow and select the location type from the drop-down list.

Fixed locations indicate there is a permanent link between the inventory item and the location whether there is stock in it or not.

Random locations indicate there is only a link between the stock and location while there is stock in the location. Random locations are generally used for areas where stock moves in and out of frequently and it is not the permanent holding location for the item (i.e., Cross-docking, Returns areas, Customer pick up areas etc.

The column displays the location type for all the locations you associated with this inventory item. When viewing the list you can filter on this field by clicking the down-arrow and selecting either All, Custom or a specific location type in the list.

The Custom filter opens the Custom Filter dialog box where you enter customised criteria for your search as shown in Figure 2.

Your choices are: "Fixed" or "Random"

Default = Fixed

Last Counted

Displays the last date this inventory item was counted. This is the same date as displayed on the Physical Count tab.

Numeric format = MM/DD/YYYY
This field is not editable. You can filter on this field.

Requires Picking

Displays whether the item requires picking at this location or not as set on the Locations window.

Options are Yes = default or No
This field is not editable.

Available

Displays the quantity of this inventory item available (not committed elsewhere i.e., on work orders) at this location. If there is stock at this location the [Stock] button becomes available.

Numeric - zero if there is no stock at this location. This field is not editable.

In Stock Qty

Displays the quantity of this inventory item in stock at this location.
If there is stock at this location the [Stock] button becomes available.

Numeric - zero if there is no stock at this location. This field is not editable.

The purpose of the Button bar in the Locations tab are detailed in Table 2.

Column

Purpose

New

Click this button to open the Find Location window where you search for and select one or more locations you want this inventory item to be stocked in.

These locations are created in Inventory> Multi-Location Maintenance

Stock

Click this button to open the Parts contained in Location window where you can view the details of this inventory item stocked at this location including quantity, stock status, size and serial numbers. This button is only available if the location currently has this inventory item stocked (for the highlighted row).

Labels

Click this button to print inventory location labels. Labels must be designed in the Inventory Label Designer before you can print them here.

Delete

Highlight the desired location in the list and click the button to delete the link between this location and this inventory item. This is only available if the location currently doesn't have any of this item stocked. This doesn't delete the location just the link. Deletion of a inventory location link to an inventory item is only marked for deletion if activity has occurred on the inventory location, i.e. it has had stock in it.
