View all current rentals for pick up

The Rentals window - Current Rentals tab displays a list of all the items currently scheduled for pick up in Invoice and Item modes, as shown in Figure 1 & 2. You can then prepare inventory for pickup. You can select a date and view option for the report and sort it by customer, item, time in or time out and then printed it. If a customer returns items early you may use this tab to find the invoice or item. See returns for more information.

To view the Current Rentals report select the Rentals > Current Rentals from the Navigator menu. When accessed from the Navigator menu, the grid list is blank until you click [Show], however, switching tabs loads the data for that tab automatically.

Select date range

Display reservations from/to <date> allows you to enter a date range to view. These dates are automatically updated from the date range entered on the Reservations tab. The reverse, however, is not true. Selecting a date range on the Current Rentals tab does not update the date range on the Reservations tab. Enter the desired dates (double-click to open the calendar) and click [Show] to refresh the display. The Subtotal column displays is the subtotal amount for the entire invoice, less taxes, which could include non-rental items and charges.

Select view option

The Current Rentals tab has an Invoice and an Item view option. These options affect the order of the columns titles displayed and the number of line items.

Figure 2 shows an example of the Invoice view which lists all rental invoices and customers in the specified Date range. For more information, double-click a specific Invoice to open the invoice details or Customer to open the customer record.

To change to the Item view shown in Figure 3, in the 'View' area of the tab select the Item option. This Item view shows the same data in the Invoice view with a few additional columns. The main difference is that when an invoice has multiple rental items, the Item view shows each item detailed on a line, whereas, the Invoice view has one line per invoice.

For more information, double-click a specific Item to open the inventory record, or Customer to open the customer record. If the customer is picking up the items (s) and you wish to change the appropriate invoice items to rented 'OUT' double-click Invoice to open the Invoice Details window (see renting out for detailed instructions).

You can sort the list (for either view) in ascending or descending order by clicking on any column title (once ascending, twice descending) except the Quantity, Status, Clerk Out and Clerk In columns. The Time Out and Due In columns only sort in ascending order.

System Five remembers which view option was previously selected so when you view Current Rentals next time, the view is the same as the last time it was opened.

The Include Returned Rentals option, when checked, will include all invoices within the specified period, even if the items have all been returned. Without this option selected, only invoices with at least one item not returned will be included.

Print the report

Click [Print] to print the report.
