Topic overview

The Rentals module is an additional module that allows you to reserve, rent, accept returns and manage bookings of inventory with pricing based on time period and date period (weekday vs. weekend or summer vs winter). This module interacts with the inventory, customers, point of sale (invoice), units and account receivable modules. This topic summarizes the module's features, menu commands, windows and dialog boxes and links you to the rental features and processes including setup and administrative functions.

You do not need to enable the module as you must be licensed for it and the module is enabled with the installation of your license codes. However there is a considerable amount of configuration required (see Rental - setup and configuration for information).

To access the Rentals module, use the following Navigator path:

Setup & Configuration

Rent & receive returned inventory and renew contracts

If you want to charge up front for rented items you can enable options to allow items to be rented out on A and/or C type invoices. For your A/R customers the invoice appears on the statement, even if the items are still rented out. If the items are returned early or late, the clerk is given the option for refund or adding charges at that time.

  1. Reserve inventory items:
  2. Make reservations (Rentals> Make Reservation)
  3. View individual inventory item booking conflicts (Rentals> Schedule)
  1. Rent/invoice inventory:
  2. Rent it out/invoice (Rentals> Make Reservation> click [Complete] or Point of Sale> New Sale to open the Invoice Details window - Reservations tab and Rental Times tab)
  1. Prepare inventory for pick up:
  2. View all current rentals (Rentals> Current Rentals)
  1. Receive returns and process renewals/recurring contracts:
  2. Renew rentals (Rentals> Renew Rentals)
  3. View individual inventory item booking conflicts (Rentals> Reservation and click Schedule tab)
  4. Process recurring rental contracts (Accounts Receivable> A/R Utilities> Contracts/Recurring Invoices)

Manage conflicting bookings, overdues for return and no shows for pick up

  1. Check all conflicts so you can sub-contract to fill bookings:
  2. View all rental conflicts (Rentals> Conflicts)
  1. View inventory that is overdue for return so you can take action to encourage returns or renew a booking:
  2. View overdue rentals (Rentals> Show Overdue)
  1. View inventory that has been reserved but not picked up so you can cancel the reservation or encourage pick up:
  2. View no-show rentals (Rentals> No Show)
