Set up a default inventory template for categories

Topic overview

When you need to add a new inventory item to the system, you often enter information that is the same for many of the items that you have. A default item already has filled in the basics for you. You can create a master default item for the entire system, and optionally a different default item for each sub category. When you add a new item the system copies the master default item first, and then if there is a default item for the sub-category, it copies that instead.

Once the master default item in created, the system takes you to the Add item window. You need to enter an item number of DEFAULT and a part number of DEFAULT. Once you have done this, you can enter all the settings for the item as if it was a real part. The difference, however, is that the master default item isn't real, you don't actually sell or stock this part. However, each time you enter a new item into the system, many of the fields that you may find yourself typing in over and over again are already filled in for you.

This saves you a lot of time when adding inventory into the system. A default item can contain a standard markup percentage. For example, whenever you add paint into the system the markup percentage can be set to cost plus 60% instead of the normal 35%. This ensures that when staff add items into the system, the standard pricing applies.

Instructions

To access the setup for the default template, select Setup Tools > Setup Wizard> Inventory> Default items from the Navigator menu. The Default Inventory window appears as shown in Figure 1.

The Master Default Item is the first row and an additional row appears below it for every category and sub-category you created when you set up main and sub-categories. Double-click anywhere on the master default item row to open the Inventory Details window where you enter all the desired default information in any of the pertinent window tabs. After you have created the master default item you can create defaults under each category if you wish.
