Set up a Kit Item for Disassembly

The System Five allows a items to be ordered and then Disassembled into individual components. This option was designed to allow purchasing items for the purpose of disassembling them for spare parts.

The Disassembly option is setup in the Inventory Option 2 section of the Setup Wizard. The Disassembly option cannot be used for inventory items defined as Units. For Units, use Service Invoices. Both serialized and non-serialized items can be disassembled.

The kit shown in Figure 1 is an IBM laptop computer created a serialized Information Only kit.

In this example, the CPU is also serialized. Any kit type can be used for Purchase Orders, so a Dynamic Non-exploding kit type can be used when the item is also sold as an assembled item in addition to being disassembled for parts.

Note: Detail items can be added manually when you disassemble, so just about any standard item can be disassembled, but if the item is not a kit, the details must be manually selected every time the item is received, and an item disassembled this way can never be reassembled.

Disassembly when Receiving against a Purchase Order or Creating a new Receiving Report

Items can be disassembled when received, by right clicking the item and selecting Disassemble, as shown in Figure 2.

As this is a serialized item, the Disassembly window will display the three serial numbers separately. Select the serial number to be disassembled, then select the Disassemble button, as shown in Figure 3.

The disassembled serialized item is broken down into the kit details on the Disassembly costing tab, as shown in Figure 4.

The disassembly costing tab lists all the kit items that this item should contain. In the Standard Cost column is the standard cost of the item. In the Actual Cost column is the proportional cost of the item which is based on the Actual Cost of the Laptop divided by the proportion of the Standard Cost for each item. The Extended Actual cost should add up to the total of the components.

Note: If the item being disassembled was not serialized, the quantities shown would be for three items instead of just the one laptop.

The first item, shown in grey, is the item being disassembled. The extended value is negative because this is the item that is being taken out of stock. The CPU Serial number is red, in Figure 4, because as it is a serialized item and requires a serial number. Enter a serial number and click on the row header of all items that have been removed from this item, as shown in Figure 5.

Not all components may be serviceable for use and these can be discarded by not checking them. The quantity of the items removed can also be adjusted. To add further items, type the Item Number in the Part column and the Part Find dialog box appears to allow selecting or creating new items. The total shows on the top. If the Actual Cost does not add up to the total of the item you are disassembling, the total shows in RED.

The [Remove] is only available for serialized items and allows for removing the cost of the disassembled item without removing the item.

When items have been excluded, the next time the Disassembly window is opened for this item, the items that were not selected will not appear. Use the [Show Kit] button to show all items, including the items that were not selected.

If an item is unserviceable and not going into stock, distribute the whole cost of the item among all the items. This can be done by pressing the [Distribute] button.

Once done, press the [OK] button. If the [OK] button is not enabled, then the Actual Total Cost does not agree or you are missing serial numbers.

Disassemble from the Inventory window

The Disassembly dialog box can also be accessed from the Inventory Edit window, Cost and Stock Levels by Right Clicking and Selecting Disassemble, as shown in Figure 6, or by clicking on the details button and using the [Disassemble] button, as shown in Figure 7.

Note: Items must be in stock to be disassembled.
