Topic Overview

The Inventory Details window - Comments Free-Form sub-tab, shown in Figure 1, can be used for any information you need to store about your inventory parts. These comments can be printed on Invoices and several reports. They can also be used to help find Inventory Parts through the Part Find window. These comments are intended to provide a method of storing additional information about an Inventory Part where specific database fields are not available in System Five. Garden Centers often use Free-Form comments to store the Genus, Species, Cultivar and Common Names of the plants that they stock. There are no specific database fields in System Five for this information, therefore the Free-Form comments allow them to define a Header for each and include the required data. They can be used to convey information to your Customers, Staff or both. The possible uses for Free-Form comments are too varied to mention and are virtually unlimited. System Five provides two Free-Form tabs which allows for up to 100 Free-Form comments per inventory Part.

Inventory Details window provides for two separate and independent sets of Free-Form comments. In the example in Figure 1, they have been re-named 'Botanical' and 'Common'. The default names are 'Free-Form 1' and 'Free-Form 2'.

To use comments previous setup in the Setup Wizard Free-Form Data Entry window, as shown in Figures 2 thru 5, click in the comment field shown in blue in Figure 1.

Pre-defined comments can be selected from the list established during the setup process. If the multiple selection option was chosen, then various items can be selected from the list by setting the check boxes, as shown in Figure 3, otherwise a single selection is made by setting a radio button as shown in Figure 2.

The description can be included encased in braces, as shown in Figure 4, by selecting the Show Description option in the Setup Wizard.

When in supervisor mode, or when the user has the Free Form Comment Definition setting enabled under the Master Security tab, new comments can be added ad hoc. This entry method, however, is limited to adding items and will not provide all the features available through the Setup Wizard.
